Their platform handles everything from online sponsorship sales and interactive floor plans to booth selection, invoicing, deliverable collection, and exhibitor communications. 

It’s built for busy event planners at associations, societies, and membership organizations who want to replace spreadsheets, PDFs, and endless email threads with one centralized system. 

ExpoGenie integrates with tools like Cvent, Salesforce, and HubSpot, and is trusted by thousands of event professionals globally.

Client Background

ExpoGenie came to us after responding to one of our cold emails in early 2025. They had a strong product serving a real gap in the events industry, but their sales operation was entirely manual. 

They had a three-person research team based in Pakistan that was spending every day browsing event directories, clicking through websites, copying data into spreadsheets, and sending around 30 emails on a good day. 

They had never heard of Clay, outbound automation, or any of the tools that could turn their slow, labor-intensive process into something scalable. The product was solid. The growth engine was not.

The Challenge

ExpoGenie’s core problem was simple: their sales process couldn’t keep up with the size of their market. 

Event directories like 10times list thousands of events, and their team could only research and reach out to about 30 per day across three people. 

At that pace, it would take months to work through a fraction of a single directory, let alone cover their full addressable market. Each prospect required multiple steps of manual digging. 

The team had to check whether events had sponsors, count exhibitors, figure out who the organizing company was, find the right contact person, and then write an email with barely any personalization left in the tank. 

The result was low output, low response rates, and stagnating growth while competitors moved ahead.

Our Solution

We built an end-to-end automated outbound system that replicated ExpoGenie’s manual qualification logic at scale. 

Using Clay, we set up scrapers to pull events from multiple directories, then automatically analyzed each event’s website to check for sponsor presence, count exhibitors, and detect what floor plan technology they were using (PDF vs. interactive). 

That last detail was a smart strategic layer: PDF floor plans signaled old-school operations ripe for ExpoGenie’s platform, while interactive floor plans flagged a competitor already in place, which called for different messaging.

From there, our system identified the organizing company behind each event, found the right decision-makers using enrichment tools, verified every email address, and generated personalized outreach. 

The whole thing ran on autopilot. Within 72 hours of launching the first campaign, qualified responses started coming in.
