Companies announce their own buying moments in public. This workflow catches them the same day and puts each one in front of the right rep.

What is a news monitoring workflow and how we set it up?

Companies announce their buying moments in public, and most teams read about them weeks late. Here is how we close that gap.

When a company raises money, opens an office or hires a new boss, it tells the world. That news is public. The problem is timing: by the time your team hears about it, everyone else has too, and the moment is gone.

This workflow reads the news for you, all day, every day. It picks out the stories that mean a company is ready to buy, checks if that company fits you, finds the right people there, and starts the conversation the same day the story breaks.

Everything runs in accounts you own, and your team stays in control: the rules are yours, the best matches go to your reps, and every reply lands with a person.

Step 1: We write the rules with your team

First, we sit down with your team. Your salespeople and marketers already know the market. They know which customers are good, which deals close fast, and which news stories mean something. Our job is to turn that knowledge into rules a system can follow. This session is the base of the whole workflow, and it is the one part no tool can do. • What a good customer looks like for you: size, industry, region • Which news means a company is ready to buy: they raised money, hired a new boss, opened a new office, started hiring fast • Which words tell us a story matters, and which are just noise • Who should get a personal message from your team, and who gets an automated one Nothing here is fixed. You can change the rules at any time, and you will want to: the results show you which rules work and which ones need to change. The more the workflow runs, the better the rules get.

Step 2: The workflow reads the news for you

Companies in your market are in the news every day. The problem was never finding that news. The problem is that nobody has time to read all of it, every day, in all those places. So the workflow does the reading. All day, on a schedule, it checks the places where your market shows up. Nobody has to remember to check anything, and nothing slips through because someone was busy. • Subreddits, where buyers talk about their problems in their own words • Google News, where funding news and big hires show up first • Local news sites, which report things the big media never covers • The trade press your buyers read • Official filings, where companies report changes themselves Every new post is checked against your rules. If it does not matter, it is dropped, and no time or money is spent on it. If it looks like a buying signal, it moves on to the next step. The workflow also remembers everything it has seen, so the same story never comes in twice.

Step 3: We check if the company is worth your time

A news post is not a lead yet. Maybe the company is too small. Maybe it is in the wrong country. Maybe it is already your customer. So before you spend any money or time on a story, the workflow checks it properly. • AI reads the story and finds out which company it is about, and what happened • If the AI is not sure, a person looks at it • The company is compared with your ICP. If it does not fit, it stops here • Companies that do not fit are not deleted. They are saved with the reason, and if they grow into your ICP later, they come back Only the companies that pass get any money or attention spent on them.

Step 4: We find the right people to talk to

A company is not a contact. Somebody specific has to read your message. So for every company that fits, the workflow finds the people who match your buyer persona. • The roles you sell to, usually two or three people per account • Found on LinkedIn, so their job titles are current • Every email address is verified, so your emails do not bounce You end up with real names and working addresses, not a guess.

Step 5: The right person hears from you the same day

Speed is the whole point of this workflow. A company that raised money last week has already heard from everyone. A company that raised money this morning has not. So the follow-up starts the same day, and it starts in the right way. The company goes into your CRM first. That way you never message a company you are already talking to, and your whole team can see what is happening. • The best matches go to one of your reps, who writes the message themselves • Strong matches get messages on LinkedIn and email • The rest gets a short email sequence Every message mentions the news story. That is why people reply: you are not writing a random cold email, you are writing about something that just happened to them. And it never gets spammy: the number of messages stays within safe limits, so your email domain and LinkedIn accounts stay healthy.

Step 6: Replies go straight to your team

The workflow starts conversations. Your team finishes them. When someone replies, on any channel, all other messages to that person stop right away. • Nobody gets another message after they have replied • Your rep sees the story, the messages and the reply in one place • Everything runs in your own accounts, so the workflow is yours and stays yours This is also where the workflow ends and your normal sales process takes over. The reply sits in your CRM with the whole story attached, so your rep knows exactly why this person is talking to you. From here, it is just selling.
